I. Overview
A memorandum is an official document recorded as a memorandum. In official correspondence, its rank is relatively low, mainly used to remind and urge the other party, or to put forward their own views or opinions on a certain issue. In business, it is generally used to supplement the lack of formal documents. Its content can be divided into the following items:
Title;
The name (title, address) of the recipient;
Address;
Subject;
Body;
Conclusion (total closure);
Signature (signature).
Second, matters needing attention
The end of the book includes the name, address and date of publication, and some also include telegram registration, telex number and telephone number. Many organizations have their own dedicated stationery. When writing a book, its format and punctuation are the same as ordinary letters. The name, title and address of the recipient (or recipient) are written below the number in the upper left corner, and the format is the same as that of the letter.
The address is written in the first box on the left. Dear Sir is generally used for the heads of general organs and organizations, and Sir is used for government officials.
The word "reason" was seldom used before. It can be placed befoRe or after address forms, or before re or Docket and Subject. If this item is written before the address table, it should be written from the capital letter on the left; If it is placed after the address, it is usually written in the middle of the letter. It mostly uses incomplete sentences, only a few words or even one word, in order to make the recipient understand the main content of the text at a glance and facilitate timely processing.
The text, conclusion and signature are the same as those of general letters.
Third, for example
Example 1
Note: Write a memo of about 100 words to the Student Services Department, asking them to fix a telephone for each dormitory.
memorandum
August 2004 16
To: Leader of Student Services Department
From: Li Ming
Subject: telephone
Dear sir,
I want to remind you that we need a telephone in every dormitory. As a college student, we need to cope with the increasing communication with teachers, friends and people outside the campus.
We need a telephone to send and receive information, which is very important to us. Although most of us have mobile phones and email addresses, the telephone in the dormitory is the most convenient and cheapest communication tool after all. I hope you can pay attention to this problem and solve it as soon as possible.
Greetings.
Yours,
Li Ming
The word "remind" has many uses, which can be directly followed by a person or an objective example, such as "remind me" translated as "please remind me". If you remind someone of something, you can use reminder of something, or you can add a clause after it, that is, "remind someone of something." Remind also uses the structure of "reminding ………" to distinguish it from reminding something.
Example 2
Note: You should write a memo of about 100 words to the leader of the supply department and borrow an extra microscope for your biological experiment. It should include:
1) Why do you need a microscope?
2) When necessary.
memorandum
August 2004 12
To: Mr. Gates, Chief of Supply Section
Sender: Li Ming from the Biology Laboratory.
Subject: Microscope
Dear sir,
I'm a biology student, and we urgently need an extra microscope to improve our experimental work.
Our experiment will start on Friday, so please send us a microscope as soon as possible so that we can better prepare for the experiment.
Extend cordial greetings.
You are sincere,
Li Ming
* This is a memorandum. When writing a memo, you must pay attention to its format, especially the beginning, and write clearly who wrote it to whom, using two words: from: to:. The word "awesome" in this article means "very urgent". The phrase "for" has the same meaning as "for" in the next sentence, that is, for. The difference is that the former is followed by the prototype of the verb, and the latter is often followed by the adverbial clause of the purpose. Similar phrases include "for that", which is used in the same way as "so that".
Example 3
Note: If you are a teacher in the student counselor's office: P: steelpes, you have received a letter from a student asking for paid educational leave. Write him a memo and reply to him, including details:

2) Reasons for refusal.

Addressee: Records Section
From: P/ Steelpes, career planning
Subject: Applying for paid educational leave
Date: May 22, 2004
Regarding your request for a one-year paid education leave to get a degree in English literature, I must inform you that we can't approve this leave.
Although we understand your desire to improve your knowledge, we believe that English literature is not directly related to your current position and the goals of this organization.
I know you are interested in literature, and I want to point out that you can apply for leave without pay.
If you need the above other information, please feel free to contact me.

2) If the company doesn't adopt it, what can we do to improve productivity?
You should write about 100 words.
To. David green, Chief Operating Officer
From: Tony. Party, supervisor
Subject: Comments on "Punch-in" System
Date: March. 22, 2004
This is a supplement to your memorandum of March 1st. In 20, 2004, you suggested that employees adopt the "punch-in" system.
I totally agree with you that we must increase productivity. As for your suggestion, if we adopt the "punch-in" system, we will exercise stricter control over our employees. However, I don't think so. Personally, I think that to do this, we should give employees more incentives to work faster. I think if we (the supervisor) can meet with you, we can discuss the different possibilities of creating this incentive.
We would appreciate it if you could consider this suggestion.

* This article is a reply to the memorandum. The production supervisor thinks that the punch card system is beneficial to improve production efficiency. But the inspector doesn't think so. He believes that "employees should be given more incentives to work faster".
